Understanding the leasing process: a step-by-step guide
Leasing out your investment property can feel complex if you’re not familiar with how it all works. That’s why we’ve put together this clear explanation of the leasing process – so whether you’re a first-time landlord or re-letting with us, you’ll know exactly what to expect and who’s involved every step of the way.
At McGrath, our approach is team-based. With around 50 property inspections conducted every week, we’re meeting almost every tenant currently in the market. This level of activity simply can’t be managed by one individual, which is why we’ve built a structured team model. Each role within the leasing process is designed to ensure your property is marketed effectively, inspected thoroughly, and matched with the right tenant.
Step 1: your new business consultant
For new clients, the journey begins with our new business consultant – Isabella. She plays a vital role in setting the foundation for your leasing campaign. Isabella works closely with you to create the strategy for pricing, timing, and marketing. She is also your first point of contact, ready to answer questions and guide you through the early stages.
This initial stage of the leasing process ensures your property is positioned to attract the best possible tenants while maximising rental return.
Step 2: your property manager
Once your campaign launches, your dedicated property manager steps in. Within the first week, they’ll reach out to introduce themselves and explain how they’ll manage your property moving forward.
Your property manager is the person who coordinates the relationship between you and your future tenant. They also oversee applications, liaise with you on approvals, and ultimately manage the tenancy once your property is leased. In short, they are your long-term partner throughout the lifecycle of the leasing process.
Step 3: outbound leasing manager
The next key role is the outbound leasing manager – the face of your property campaign. This team member conducts all open inspections, takes tenant enquiries, handles phone calls, and meets prospective tenants onsite.
After each inspection, they provide you with direct feedback via phone or SMS so you always know how your campaign is tracking. Their role ensures that tenant interest is captured quickly and communicated efficiently as part of the leasing process.
Step 4: the processing manager
Behind the scenes, our processing manager handles tenant applications submitted through our online platform, Snug. A typical leasing campaign can attract an average of seven to eight applications.
From there, applications are carefully screened to ensure tenants meet essential criteria such as affordability, rental history, and reference checks. This step narrows the pool to one or two highly suitable applicants for your property.
Your property manager will then present these applications to you for final approval. This stage of the leasing process is crucial in finding not just any tenant – but the right tenant for your investment.
